Website Testing Guide
Thank you for helping us test the ASDFW website! This guide walks you through everything we’d like you to try. You don’t need any technical knowledge — just follow the steps and let us know if anything looks off or behaves unexpectedly. Work through the phases in order, since some later steps build on things you set up earlier.

Phase 1 — Browsing the Site as a Visitor
Before logging in, explore the site the way a brand-new visitor would. We want to make sure everything looks right and all the pages are accessible.
1.1 Can you get around the site?
What to do
- Open the website without logging in.
- Click through the menu at the top: Home, Committees, Clubs, Events & Activities, Membership, About.
- Click the links at the bottom of the page too (the footer).
- On the homepage, click the main buttons — Join Us, Donate, Register — and a few event and committee cards.
What you should see
- Every page opens without any error messages or blank screens.
- Pages look complete — no missing images or broken layouts.
1.2 Can a visitor buy tickets without an account?
What to do
- Still not logged in, go to Events & Activities → Events.
- Open Test me Event.
- Try clicking the Register or Buy Tickets button.
What you should see
- The events page shows upcoming events with photos, dates, and prices.
- Test me Event page shows the event details and ticket prices.
- When you try to buy a ticket, the site asks you to log in first — you should not be able to complete a ticket purchase without an account.
1.3 Can a visitor RSVP to an activity?
What to do
- From the menu, open any activity (you’ll find these under Committees or Clubs).
- Try clicking the RSVP or Register button.
What you should see
- The activity page shows the schedule and description.
- Clicking RSVP should take you to the login page — you can’t register for an activity without being logged in.
1.4 Is the Member Directory private?
What to do
- While still not logged in, try opening the Member Directory page directly: https://asdfw.synology.me:8444/member-directory/
What you should see
- You should be taken to the login page, or see a message saying this page requires a login.
- No member names or email addresses should be visible to someone who isn’t logged in.
Phase 2 — Joining as a New Member
This phase tests the whole journey of someone applying for membership — from filling out the form all the way to having a fully active account. It’s best to have two people working on this together: one person playing the role of the new applicant, and another with admin access handling the approval side.
2.1 Filling Out the Membership Form
What to do
- Without logging in, go to the Membership page.
- Fill out the application form and choose the Basic membership level.
- Submit the form.
What you should see
- The form submits smoothly with a confirmation message.
- The person who applied receives an email saying their application is being reviewed.
- At the same time, admins who handle membership approvals receive an email letting them know there’s a new application waiting.
2.2 Approving the Application
What to do
- Log in as an admin and go to the Membership Approvals page: https://asdfw.synology.me:8444/membership-application-approvals/
- Find the application that was just submitted and click Approve.
What you should see
- The application disappears from the waiting list.
- If it was a Basic membership: the new member receives a welcome email with a link to set up their password and log in.
- If it was a Premium or Lifetime membership: the new member receives a payment instructions email explaining how to pay via Zelle and that they have 48 hours to complete the payment.
2.3 Paying for a Premium or Lifetime Membership via Zelle
This step needs someone with a real Zelle-enabled bank account. Repeat steps 2.1 and 2.2 using the Premium or Lifetime level before continuing.
What to do
- The new member receives the payment instructions email — make a note of the payment reference code in the email.
- Send a Zelle payment to the ASDFW Zelle address shown in the email, and put the payment reference code in the memo/note field.
- Wait a few minutes for the system to pick up the payment.
- Log in as an admin and go to the Zelle Transactions page: https://asdfw.synology.me:8444/zelle-transactions/
What you should see
- The Zelle payment shows up in the transaction list.
- If the system matched it automatically: the membership is marked as paid and the new member receives a welcome email with their login link.
- If it appears under Needs Review: click Link to Order to manually connect the payment to the membership — the welcome email goes out once you do.
- The new member can now log in and access their account.
2.4 What happens if a paid membership is never paid?
What to do
- Complete steps 2.1 and 2.2 for a Premium membership, but don’t send a Zelle payment.
- Wait 48 hours (or ask the team to speed this up for testing purposes).
What you should see
- After 48 hours without payment, the membership is automatically cancelled.
- The person receives an email letting them know their membership was cancelled due to non-payment.
- No login access is created for them.
2.5 Rejecting an Application
What to do
- Submit a fresh membership application (any level, while logged out).
- Log in as an admin, go to the Membership Approvals page, and click Reject on the new application.
What you should see
- The application is removed from the approvals list.
- The person who applied receives an email letting them know their application wasn’t accepted.
Phase 3 — Adding Family Members to an Account
ASDFW memberships cover a whole household. This phase checks that a member can add their family and that those family members can log in with their own account.
3.1 Adding a Family Member
What to do
- Log in as the member you created in Phase 2.
- Go to My Account: https://asdfw.synology.me:8444/my-account/
- Add a household member — a spouse or family member — with their name and email address.
What you should see
- The family member appears on the account page.
- They receive an email with a link to set up their own password.
3.2 The Family Member Logs In
What to do
- The family member uses the link in their email to create a password.
- They log in at: https://asdfw.synology.me:8444/login/
- They browse to My Account and the Member Portal.
What you should see
- After logging in, they land on the Member Portal — not the WordPress admin area.
- Their account page shows their own name and reflects the family’s shared membership level.
Phase 4 — Assigning Roles & Permissions
This phase is for admins. It tests giving members leadership roles within committees and clubs, and controlling which parts of the site they can manage.
4.1 Adding a Member to a Committee or Club Role
What to do
- Log in as an admin and go to the WordPress admin area.
- In the left menu, find ASDFW → Organization.
- Open any Committee or Club and add the member from Phase 2 or 3, giving them a role.
What you should see
- The member shows up in that committee or club’s roster.
- When that member logs in, their Member Portal now reflects their new role — for example, if their role gives them access to send communications, that section appears for them.
4.2 Giving a Member Access to Specific Features
What to do
- In the WordPress admin area, find ASDFW → Access Manager.
- Find the member from Phase 2 and turn on one or two permissions, such as Approve Applications or Manage Events.
- Log in as that member and go to the Member Portal.
What you should see
- The sections you just unlocked are now visible and accessible in the member’s portal.
- Sections that weren’t granted are still locked — they’ll see an “access denied” message if they try.
- If they now have items waiting for their attention (like applications to approve), a notification badge appears in the site header.
Phase 5 — Sending a Communication to Members
5.1 Writing and Submitting a Message
What to do
- Log in and go to the Communications page: https://asdfw.synology.me:8444/member-communications/
- Click New Request. Give it a subject, choose who it should go to (for example, All Members), and write a short message using the email editor.
- Click Save Draft to save your work, then click Submit for Approval when you’re ready.
What you should see
- Your draft saves and appears in the list marked as Draft.
- After submitting, it changes to Submitted and the people who review communications receive a notification.
5.2 Approving and Scheduling the Message
What to do
- Log in as someone with approval access and go to: https://asdfw.synology.me:8444/communications-approvals/
- Find the message from step 5.1 and click Approve.
- Go back to the message, click Schedule, pick a time a few minutes from now, and confirm.
What you should see
- After approving, the status changes to Approved.
- After scheduling, the status changes to Scheduled and shows the send time.
- At the scheduled time, the emails go out and the status updates to Sent.
Phase 6 — Managing Events
6.1 Creating an Event with Tickets
What to do
- Log in and go to the Event Management page: https://asdfw.synology.me:8444/event-management/
- Click Add New Event. Fill in the event name, date, and a description.
- Add at least one ticket option with a price.
- Upload a photo for the event, then publish it.
What you should see
- The event appears on the public events page with the photo, date, and price.
- A Register or Buy Tickets button is visible on the event page.
6.2 Creating a Free Event (No Tickets)
What to do
- Create a new event the same way, but this time leave the ticket section empty (or mark it as not ticketed).
- Publish it.
What you should see
- The event shows up on the public page with the details, but with no ticket price and no Register button.
6.3 Making Changes to Test me Event
What to do
- In Event Management, open Test me Event.
- Update the event description and make a small change to a ticket option.
- Save your changes.
What you should see
- The public event page reflects your changes within about a minute.
- Any existing ticket registrations for the event are not affected.
6.4 Checking People In with the Scanner
What to do
- In Event Management, open Test me Event and click Open Scanner.
- On a phone: allow the camera and scan a ticket QR code. On a computer: use the search field to look up a ticket by the reference number.
- Try scanning or looking up the same ticket a second time.
What you should see
- First scan: a green confirmation that the person has been checked in.
- Second scan: a warning that this ticket has already been used.
- The number of checked-in attendees updates on the event management page.
Phase 7 — Managing Activities
7.1 Creating an Activity Where People Can RSVP
What to do
- Log in and go to the Activity Management page: https://asdfw.synology.me:8444/activity-management/
- Click Add New Activity. Fill in the name, date, schedule, turn on RSVP, and publish it.
What you should see
- The activity appears on the public site with an RSVP button for logged-in members.
- If someone who isn’t logged in tries to RSVP, they’re asked to log in first.
7.2 Creating an Activity Without RSVP
What to do
- Create a new activity the same way, but leave RSVP turned off. Publish it.
What you should see
- The activity page shows the details with no RSVP button.
7.3 Posting a Blog Update for an Activity
What to do
- Open any existing activity in Activity Management.
- Add a new update post — write a short message and attach a photo — then save.
What you should see
- The update and photo appear on the activity’s public page under the updates section.
7.4 Adding a Photo to an Activity
What to do
- Open an existing activity and upload a main photo for it. Save.
What you should see
- The photo shows up on the activity card in the list and on the full activity page.
Phase 8 — Payments, Reports & Zelle
8.1 Looking Up a Payment
What to do
- Log in and go to the Payment Orders page: https://asdfw.synology.me:8444/payment-orders/
- Search for the payment reference from Phase 2.3 (or any existing order) and open the details.
What you should see
- A list of payments showing the reference code, person’s name, amount, and payment status.
- The detail view shows exactly what was paid for, how it was paid, and lets you update the status if needed.
8.2 Running a Ticket Sales Report
What to do
- Go to the Reports page: https://asdfw.synology.me:8444/member-reports/
- Run a Ticket Sales report and filter it to Test me Event.
- Click Export to Spreadsheet (or Export CSV).
What you should see
- A table showing ticket sales for Test me Event with names and amounts.
- The export downloads as a file you can open in Excel or Google Sheets.
8.3 Reviewing Zelle Payments
What to do
- Go to Zelle Transactions: https://asdfw.synology.me:8444/zelle-transactions/
- Click on the Needs Review tab and look through any items there.
- On any item in Needs Review, click Link to Order and match it to the right payment.
What you should see
- Four tabs across the top: Needs Review, Auto Linked, Non-Order, and All Zelle Payments — all load correctly.
- After linking a payment to an order, that order shows as paid and the member receives their welcome email.
